Starting a Business as a Sole Proprietor: Bookkeeping Basics

Starting a business comes with a lot of things to figure out. Bookkeeping is usually not the exciting part. It often gets pushed aside at the beginning.

"I'll set it up later."   "I'll deal with it when I have more time."   "Let's go make money first… we'll figure it out later."

And honestly, that's very common. But from what I see, the way bookkeeping is set up at the start makes a big difference later. It doesn't have to be complicated. It just needs to be clear and consistent.

Start simple, really simple

You don't need perfect systems or complicated software on day one. What matters is having a few basic things in place and being consistent with them.

    Separate business and personal money
    A separate business bank account makes everything easier: for you, for your bookkeeper, and for CRA if they ever ask questions.

    Track income and expenses from the beginning
    Use QuickBooks, Xero, or even a simple spreadsheet. The tool matters less than the habit, not the software namething should slip through.

    Keep your receipts
    Take a photo, upload it, keep it in one place. Shoebox receipts or missing records are one of the most common problems I see.

    Understand that not all money is yours
    Part of what comes in belongs to CRA: GST/HST collected, income tax, etc. A rough rule: set aside 20–30% as you go so tax season is not a surprise.

    Choose simple tools
    QuickBooks, Xero, or even a basic spreadsheet: all of these work. What matters is using it regularly. The fanciest software that sits unused does nothing for your books.

    Don't wait too long
    Small, regular work is much easier than catching up on 6 months of transactions. The longer you wait, the bigger the job.

Bookkeeping just needs to be clear, simple, and consistent. You don't need to become an accountant. You just need a system that works for you.
