Sole Proprietor in Canada: What to Prepare Before Tax Season

Tax season comes every year, and still feels like a surprise. From what I see, it is usually not the taxes themselves that are stressful. It is everything that was not done before.

The good news is that preparing for taxes is actually simple. It just works much better when it is not all left until the last minute.

The six things to have in order

    Know your income
    Include all income: invoices, payments received, cash, and e-transfers. Everything that came in counts, whether or not it went through your bank account in the usual way.

    Organize your expenses
    Common deductible expenses include tools and equipment, the business portion of your vehicle, phone and internet, and software subscriptions. They need to be business-related and reasonable to qualify.

    Keep your receipts
    Without receipts, expenses can be denied by CRA. Keep everything in one place and update regularly throughout the year, not just before filing.

    Understand your GST/HST situation
    Know how much GST/HST you collected, how much you paid on expenses (Input Tax Credits), and what was already filed. This affects your T1 as well as any outstanding GST/HST balances.

    Review everything before you file
    Do the numbers make sense? Does your income match what actually came in? Do your expenses look reasonable for your type of business? If something looks off, it is much easier to fix before you file than after. A missing transaction, a duplicated entry, or a wrong category can change the result more than you might expect.

    Do not leave it too late
    Last-minute work creates mistakes and stress. For most sole proprietors, the T1 deadline is June 15, but any tax owing is due April 30. That gap can be costly if you are not prepared.

Taxes are manageable when records are clear. The earlier you start, the less stressful it gets. If something feels unclear, it is better to check early rather than rush at the deadline.
